Privacy Policy

1. About this policy

Luna Wellness Collective (a business name of The Wellness Mill Pty Ltd, ABN 83 623 992 192) is a naturopathic clinic on the Sunshine Coast, Queensland. We see clients in clinic and online, and run education programs including the ADHD Health Hub and our 8-week Program.

We provide health services, so we're bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles, whatever our size (OAIC). This policy explains what personal information we collect, why, who we share it with and how you can access or correct it.

It covers:

  • our clinic and online consultations
  • our websites, including lunawellnessco.com.au and kyliesmart.com.au
  • the ADHD Health Hub, the Program and our free community
  • the ADHD Health Framework quiz and our other quizzes and downloads
  • emails, messages and social media contact with us

2. What we collect and how

We only collect what we need to look after you, run our programs and keep in touch if you've asked us to.

Contact details: your name, email, phone, address and date of birth.

Health information: your health history, symptoms, medications and supplements, pregnancy status, pathology and test results (including genetic and gut testing if you choose to do them), consultation notes, and your answers to health questionnaires and quizzes. Health information is sensitive information under the Privacy Act. We only collect it with your consent, and only when it's reasonably necessary for the service you've asked for.

Account and payment details: logins for our programs and payment records. Card details are handled by our payment provider — we don't store them.

Website and email information: basic technical details like browser, pages visited and whether you opened our emails, through cookies and similar tools.

We collect most of it directly from you: when you book, fill in intake forms, attend a consult, complete a quiz, join the Hub or Program, message us or sign up for a download. With your consent, we may also receive information from other health professionals or pathology labs involved in your care.

You can deal with us under a pseudonym for general enquiries. For consultations, programs and the quiz we need your real name and email, because we can't safely give personalised health support to someone we can't identify.

If you're booking for a child, a parent or guardian gives consent on their behalf.

3. How we use it

We use your information to:

  • provide and plan your naturopathic care, and keep accurate clinical records
  • personalise what you see in the Program and the Hub
  • follow up if something you tell us suggests you should see a doctor
  • send appointment reminders, program updates and receipts
  • send newsletters and offers, only if you've opted in (see Marketing)
  • improve our services, using combined, de-identified information where we can
  • meet our legal and professional obligations

We don't sell your personal information, and we don't use your health information for anything unrelated to your care or program without asking you first.

The ADHD Health Framework quiz

The quiz asks about your medications, pregnancy status, symptoms, cycle and menopause stage, and your mood and wellbeing. We use your answers to:

  • work out your top focus areas and show you your results
  • personalise your Program and Hub experience
  • flag answers that suggest you should see a GP, so a member of our team can follow up with you

The quiz is educational and isn't a diagnosis or a replacement for medical care. If you're in immediate danger, call 000.

When a quiz answer needs follow-up, our team gets a short internal alert with your name, email and the general reason (for example "GP check"). The alert doesn't include your symptoms or answers — those stay in our secure database, which only authorised team members can log in to see.

4. Who we share it with

We share your information only when we need to, and only as much as is needed:

  • Our team: practitioners and admin staff at Luna, on a need-to-know basis. Non-clinical staff don't give personalised health advice.
  • Other health professionals: your GP, specialist or pathology lab, only with your consent or where the law allows (for example, a serious threat to your or someone else's safety).
  • Service providers who help us run the business, listed below. They may only use your information to provide their service to us.
  • Where the law requires it, for example a court order.

The service providers we use are:

  • Splose — bookings, clinical notes and client records. Data is stored in Australia.
  • Stripe — payments. Data may be processed in the United States, India and other countries.
  • GoHighLevel — contact management, emails and program follow-up. Data is stored in the United States and may be accessed by providers in other countries, including India.
  • Skool — hosts the ADHD Health Hub and community. Data is stored in the United States.
  • Lovable (Lovable Cloud) — hosts the ADHD Health Framework quiz and stores your answers. Lovable is based in Sweden and processes data in several countries, including the United States.
  • Slack — internal team alerts (name, email and general reason only). Data is stored in the United States.
  • Pathology and testing labs — tests you choose to do, only with your consent. Where data is stored varies by lab, and we'll let you know before you order.

‍

Overseas storage

Some of these providers store data outside Australia, including the United States, Sweden and India. We choose providers with strong security and take reasonable steps to make sure they protect your information in line with the Australian Privacy Principles. By using our services, you consent to your information being stored with these providers. If you'd rather not, talk to us — there may be other ways we can work with you.

5. Marketing, security and keeping your information

Marketing

We'll only send you newsletters or offers if you've signed up or agreed to hear from us. Every marketing email has an unsubscribe link, and you can opt out any time. We never use your health information or quiz answers for advertising, and we never share it with advertisers.

Keeping it secure

We take reasonable steps to protect your information from misuse, loss and unauthorised access, including:

  • password-protected systems, with access limited to the people who need it
  • quiz answers that can only be viewed by logged-in, authorised team members
  • keeping symptoms and health details out of internal alerts and general messaging tools
  • training our team on confidentiality

No system is completely secure. If a data breach is likely to cause you serious harm, we'll let you and the Office of the Australian Information Commissioner (OAIC) know, as the Notifiable Data Breaches scheme requires.

How long we keep it

We keep clinical records for 7 years after your last contact with us. Quiz answers are health information we use to support you, so we keep them for the same 7 years. When we no longer need information, we securely delete or de-identify it.

6. Access, correction, complaints and changes

Seeing or correcting your information

You can ask to see the personal information we hold about you, or ask us to correct it if it's wrong or out of date. Email hello@lunawellnessco.com.au. We'll respond within 30 days. We may need to confirm who you are first. We won't charge you to make a request, though we may charge a reasonable fee for copying large records — we'll tell you first. In rare cases the law lets us refuse access, and if so we'll explain why in writing.

Complaints

If you're worried about how we've handled your information, contact us first at hello@lunawellnessco.com.au. We'll acknowledge your complaint within 5 business days and aim to resolve it within 30 days. If you're not happy with our response, you can complain to the OAIC at oaic.gov.au or on 1300 363 992.

Changes to this policy

We may update this policy as our services or the law change. We'll post the new version here with its date. If we make a significant change to how we use your health information, we'll let you know before it applies to you.
